We are committed to protecting your data and handling it responsibly. Below, we outline the key elements of data processing related to the Brainxon website and app “Follow Up.”

2. Data Processing on Our Website

We process data on our website for site functionality and, where you consent, analytics.

2.1 Hosting and Server Logs

Our website is served from our own infrastructure. Like any web server, it automatically records technical access data for every request (IP address, timestamp, requested page, browser type, referring page) for a short period, to operate the site securely and diagnose faults. This processing is based on our legitimate interest in providing a functioning, secure website (Article 6(1)(f) GDPR).

2.2 Cookies

We use a small number of first-party cookies: one to remember your language choice, and one to remember whether you have accepted or declined the optional cookie category below (both essential to how the site behaves, Article 6(1)(f) GDPR). The cookie banner also offers an optional “analytics” category; we do not currently operate any analytics or tracking tool on this website, so accepting or declining it has no practical effect today. If we activate an analytics tool in the future, this section will be updated first, and only visitors who have consented (Article 6(1)(a) GDPR) will be measured.

3. Data Processing in Our Application “Follow Up”

By design, our app “Follow Up” saves the information that users enter into the application to support its functionalities and features. We only process data that is strictly necessary to operate the application.

3.1 OpenAI API

To provide transcription and summary functionalities, our app uses the OpenAI API. Audio data is sent to OpenAI’s Whisper model for transcription, and the generated content is summarized using OpenAI’s language models. The privacy practices of OpenAI apply to this processing, as detailed in their EU Privacy Policy (https://openai.com/de-DE/policies/eu-privacy-policy/).

4. Third-Party Integrations

4.1 Microsoft Bookings

To schedule meetings, we use Microsoft Bookings by Microsoft Corporation. Microsoft may process personal data related to booking interactions. This processing is based on our legitimate interests in managing customer and partner appointments (Article 6(1)(f) GDPR). 5. Data Retention and Deletion

We retain personal data only as long as necessary for the purposes outlined or as required by law. Information entered in the “Follow Up” app is retained based on the app’s functional requirements, and we delete data upon the termination of its purpose or upon user request, where applicable.

We may update this privacy policy from time to time. When we make changes, we will post the revised version and the effective date on this page unless another form of notification is legally required.
